  1.    Position Title: -     Lead Inventory Controller 

        Job Grade: -         8

        Duty Station: -     Bonga

        Availability: -      As soon as possible

Job Purpose: - Manage commodities worth more than 50 million at a given time and is responsible for receiving and issuing commodities from the particular warehouse under his/her custody. Coordinate and supervise the daily activities of the particular warehouse. Coordinate the work of Inventory Controllers.

SUMMARY OF MAJOR DUTIES AND RESPONSIBILITIES

  • Responsible for the overall management of incoming/ receiving and issuing commodities from the particular warehouse under his/ her custody;
  • Coordinates and supervises the daily activities of the particular warehouse;
  • Coordinates the work of Inventory Controllers;
  • Ensures accuracy of documents received and completes the necessary documentation upon receipt of the commodity;
  • Ensures proper movement of commodities into and out of the warehouse and maintains all records accurately and timely;
  • Visually inspects and randomly takes sample while unloading and verifies if the grade given by the laboratory is correct against known grading samples for each deposit;
  • Regularly checks the condition of stored commodities for possible quality deterioration, insect infestation, etc. and recommends immediate remedial measures;
  • Signs and submits the quantity loaded and unloaded using deposit ticket and loading ticket to the Warehouse supervisor;
  • Signs GIN’s and GRN’s confirming the quantity and grade of commodity loaded from / received into the warehouse under his/her supervision;
  • Responsible for any weight loss in the warehouse as determined by the Warehouse Operations Manual;
  • Checks and approves the labor cost requisition on a timely basis and passes it to the Warehouse Supervisor;
  • Ensures that all inventory transactions are properly recorded, documented; and updates the stock records at all times in accordance with the warehouse operations manual;
  • Facilitates complete inventory count as well as cycle counts and report;
  • Maintains a neat, orderly and efficient warehouse;
  • Compiles reports including daily GRN and GIN approval, opening balance, deposit, delivery by classification and grade on a daily basis and submits to the Warehouse Supervisor;
  • Responsible for the overall record and inventory management of the warehouse;
  • Conducts warehouse visual inspection weekly/as required in a particular warehouse under his/ her custody;
  • Handles leftover/ reference samples as assigned by the Warehouse Operation Supervisor according to their grades;
  • Clearly and unequivocally instructs the day laborers concerning the designated place for loading and unloading operations;
  • Assigns similar types and grades to specific warehouses to ensure better space utilization and logistics efficiencies;
  • Checks there are no double submissions of DN and validates that the GRN related to the PUN was initially deposited in his/her warehouse before instructing the commencement of loading the vehicle;
  • Approves delivery tickets and loading tickets prepared by IC;
  • Sends the undelivered and expired  PUN/DN paper copies back to WHO Supervisor for report to HO each working day;
  • Always checks and ensures the manual ground scale in the warehouse is working properly and reports immediately in case it malfunctions;
  • Displays the highest ethical and professional behavior towards the customers/ clients getting services associated with the Exchange  at specific warehouse;
  • Performs other related tasks as assigned by the immediate supervisor.

Required Qualification and Experience

  • MBA\MA\MSc\BA\BSc Supplies Management, Business Management, Accounting, Agribusiness Management or related fields and
  • 2/4 years relevant experience in agricultural commodity inventory management, warehouse management, inventory control or related areas 


Required Skill: Demonstrates attention to detail; Displays ability to manage emotions; Demonstrates ability to motivate others and is resourceful; Demonstrates good time management skill.



  1. Position Title: -    Supervisor, Customer Relationship Management

     Job Grade: -         7

Duty Station: -      Dansha

     Availability: -       As soon as possible


Job Purpose:- The purpose of this job is to ensure smooth and transparent relationship of the Exchange with members, clients and external stakeholders; to monitor and ensure continuous customers satisfaction and timely response to customer enquiries; to coordinate with functional Divisions to improve customers satisfaction and to resolve members’ and clients’ requests, questions and complaints as a focal person.


SUMMARY MAJOR DUTIES AND RESPONSIBILITIES

  • Participates in the preparing and updating customer services guidelines, manuals, processes flows, complaint tracking and reporting formats of the division and other divisions;
  • Plans and organizes engagement events with internal and external customers of the Exchange together with other concerned divisions of the Exchange;
  • Provides front-line advice and support to customers and gather feedback or complaint from customers on the Exchange service;
  • Participates in conducting customer satisfaction survey; 
  • Works closely with other departments in processing customer related requests;
  • Produces analytical and customer experience reports;
  • Performs other duties assigned by the immediate supervisor.


Required Qualification and Experience


  • MBA\MA\MSc\BA\BSc Marketing, Management, Economics, Business Management and related fields and  
  • 2/4 years relevant experience in customer relationship management, customer compliant handling, warehouse operations, Sales Management, Marketing, and related areas


  1. Position:  -         Data Assistant

     Job Grade:  -     5

     Duty Station: -   Hawassa

          Availability: -     As soon as possible


Job Purpose: - Collect, compile, record, and document information. Prepare Goods Receiving Notes and Goods Issue Notes. Compile reports regarding warehouse operations.

SUMMARY OF MAJOR DUTIES AND RESPONSIBILITIES

  • Collects, organizes and verifies accuracy of data before entering to the warehouse application.
  • Collects and checks all source documents required to create valid company documents.
  • Collects, compiles and stores all the necessary data required by the Exchange.
  • Records and prepares arrival of commodities to the ECX, prepares them for Sampling, Coding and Goods Received Notes or Goods Issue Notes.
  • Records and issues voucher and document to clients and to the Lead Inventory Controller/ Warehouse Supervisor.
  • Creates GRN, GIN, generates code and decodes the grading result.
  • Records, prints and transmits information regarding received, stored and delivered commodities to concerned bodies.
  • Ensures that database files and applications are secured and protected from loss or damage.
  • Ensures that ECX application files are maintained at the required level of integrity.
  • Detects hardware/software malfunctions and notifies the supervisor.
  • Maintains an expected workflow while sustaining a high level of accuracy and thoroughness.
  • Maintains accuracy in performing repetitive work where speed and accuracy are of prime importance.
  • Protects confidentiality of records and information.
  • Compares data entered into the ECX’s system with the original paper documents; and conducts spot checks to verify the data is correctly entered.
  • Maintains an effective and efficient system for data collection and analysis and prepares periodical reports. 
  • Perform other related tasks as assigned by the immediate supervisor;


REQUIRED QUALIFICATION AND EXPERIENCE

  • TVET 10+3\level 4 Diploma or Equivalent in IT, Accounting, Secretarial Science or related fields and 2 years relevant Experience in data clerk, secretary, or related filed
